Kaleidoscope – Minutes of Committee Meeting held on September 16th 2019

Music
Our copies of ‘Hairspray may not be legal so Helen has bought 30 new copies of ‘Hairspray’. These may not be with us before 28th September concert. Members will be asked to mark them up from the existing copies and use the new, legal copies in future concerts.
Events
- September 28th Whittington Village Hall 7.30 pm
Members are urged to publicise this concert and persuade as many friends and family as possible to buy tickets. Posters have been sent out by email and printed posters are available at rehearsal
Tickets are now available – £6 from Catherine.
Josie to arrange for her friend who attends St Giles to get the concert into church notices. Thanks to Sue Bowring and Cheryl Guest who have volunteered to get posters around the village.
Jo Bull to be asked to hand out black folders at September 25th rehearsal (if you are not there please ask her for a folder this week) and collect back in on October 2nd
Arrival time will be 6pm as we need to set up the hall and check out our staging and sound
Uniform – Black with turquoise
All our bags and coats etc. will be put onto stage with the curtains drawn
Anne M to ask for volunteers to :-
- Set out chairs
- Set up kitchen, serve refreshments at interval and wash up at end
- Clear up chairs etc. at end
Donations will be asked for refreshments – Anne M to provide a notice
Catherine will take ticket payments at door
Yvonne to provide float for ticket and raffle sales
Chris will provide tea, coffee sugar, milk and squash and bring tea towels. Catherine will purchase biscuits.
Chris will compere.
Chris will organise raffle prizes. Anne M & Ann S will organise raffle on the night – perhaps ask Lynne and Cheryl to sell tickets. Josie will buy books of raffle tickets. The raffle will be drawn at some point in the 2nd Half.
Yvonne to transport equipment needed – piano, stool, music stand, amp, microphone stand, microphone & bag of extras
- October 12th Workshop
Places can now be booked for this with Catherine. Places can only be booked with full payment – £15. We would encourage members to book ahead as places may be limited.
Posters for publicity are now available and there will be printed posters at rehearsal after 28th concert. Catherine to provide A5 posters and bring supply to 28th concert
Members will be asked to donate cakes for the day
Anne M to ask for volunteers to help with setup, tidy up and serving hot drinks.
Anne M to check whether we will need the keyboard etc.

Jo Bull for sorting out damaged black folders. Catherine
will buy a sample turquoise folder from Amazon and Anne M one from W H
Smith. The committee will review these at the next meeting.
Anne M to send out a test email as some members are not always getting mails using a Gmail group she has set up and raise the problem with the website email again with our providers.
The Committee agreed as a matter of Data Protection to use BCC for mail where multiple members or groups are involved.
