Kaleidoscope – Minutes of Committee Meeting held on November 18th 2019

Present: Helen Klich, Anne Mapley, Ann Smedley, Josie Wilson Yvonne Ward, Chris Dixon

Rehearsals

Rupert was unable to attend the meeting but sent a message to the Committee as follows :-

‘just to acknowledge and thank the choir for the hard work they’ve put in in the last few weeks learning the new Christmas songs.  So far, it’s five new songs, with a sixth one coming up this week, and the choir have really risen to the occasion.  I promise the pressure will ease off in the new year!’

Music

Members will be asked to hand in all copies of ‘With a Little Help’ so that any copies without the copyright notice can be destroyed. Once Rupert has added the copyright notice new, legal copies will be printed and can be distributed.

Members

We welcome Philomena Bailey (Phil) to the sopranos

Can we encourage members who are unable to attend a rehearsal to let us know as soon as possible via email at info@kaleidoscopechoir.co.uk , or phoning/texting Ann Smedley on 01543 410389 or 07527 577751.   This then enables us to take a view, if many members are absent, as to whether it is worth holding a rehearsal.

Events

  • Friends and Family Evening December 11th

Proposed order for the evening :-

  1. 1st Half singing
  2. Presentation of cheque to John Dixon for Myeloma UK
  3. Interval with refreshments and quiz
  4. Answers to quiz and allocation of prize
  5. 2nd half singing
  6. Draw of raffle (prizes to be collected on exit)
  7. Last two numbers

The programme is listed at the bottom of these minutes.

Please invite as many friends and family to this free event.

Anne M will distribute a list at the next few rehearsals where you can indicate how many friends and family might attend. This is to enable us to estimate numbers for seating, refreshments etc.

It would be preferable to be seated with tables on the evening, but this will depend on numbers. Christmas tablecloths should be in our filing cabinet

Josie is providing a ‘photo’ quiz for the interval. Ann S will pick out a suitable prize.

Josie will purchase Lidl mulled wine (alcoholic & non-alcoholic), oranges & lemons, once she has checked we have saucepans at the hall for heating it. She will also check whether we have suitable polystyrene cups

Ann S to buy serviettes, mince pies and shortbread

Chris will supply tea, coffee, sugar, milk and squash

Donations will be asked for refreshments and the monies raised for this and the raffle will be for the benefit of Myeloma UK

Chris to arrange presentation cheque and Phil Klich has kindly agreed to take photos of Helen presenting to John Dixon with the choir behind.

Helen to ensure we have an easily adjustable mike stand for rehearsal on Dec 4th and on Dec 11th

Rupert will compere the evening, Josie announce quiz answers

Anne M & Ann S draw the raffle

Anne M will ask Lynne & Cheryl to sell raffle tickets (£1 per strip)

We will use the turquoise folders – Jo to hand out Dec 4th

Dress to be black and turquoise. During the 1st half please do not add Christmas accessories so the presentation photo is not ‘Christmassy’. Christmas accessories can be added during the interval for the 2nd half.

  • St Michaels Concert

Anne M has discussed with Sue Jones and we are waiting for the church’s proposed 2020 dates.

  • 2020 Concerts

Members are asked to get organisations that would like to stage a concert in 2020 to get in touch with a Committee member. We are looking to perform  to new audiences in 2020 and for new charitable organisations – so thinking caps on all please !

Equipment

Rupert to source a music stand.

All the black folders are offered to members for their personal use, or to any organisation that can use them – please ask Jo. Any remaining in the New Year will be freecycled (Anne M), preferably for charity use.

Website etc.

Anne M to progress moving the website host

Anne M to publish a short questionnaire on member’s use of the website in the New Year. We may then change the website based on the results

AGM

It was agreed this will be held in the 1st half of rehearsal of Wednesday February 5th 2020

Next Meeting – Monday January 27th 7.30 pm 2019 at Yvonne’s house
